Beach Party Rules

PROPERTY OWNERS OF EATON’S NECK BEACH  BEACH PARTY RULES 

The Purpose: 

The beach party rules are in place to ensure member families have a beautiful environment to  hold events, while protecting the Association properties and the quality of life of those living  near those properties. It is because of these commitments to our members, properties and  neighbors. Failure to abide by any of these rules will result in loss of the full deposit. 

Members in good standing may use a section of Price’s Bend Beach for private parties,  except on Holidays & Holiday weekends. Parties will be limited to one per day and no more  than 3 per week. (The beach party season is defined from Memorial Day until October 1st.) 

A party is a gathering of 15 or more people, not including member families gathering on the  beach for normal daily activities.  

There shall be only one “large” party per weekend (Saturday/Sunday). Large parties are not  permitted Monday through Friday. A “large” party shall be any party with 50 or more people,  or a DJ or other music for hire, or a tent or other temporary structure (e.g. inflatable ride). 

Reservation requests for POENB parties will officially open on midnight of April 1st of  each year. No requests prior to that date and time stamp will be considered. 

To qualify to reserve a party date and host a party: 

  • The host must be a member in good standing. 
  • Submit your requests via email to beachreservation@eatonsneck.org.
  • Only upon written approval by the board is your request confirmed. Once confirmed, the member must sign the Beach Party Reservation Form and Agreement Form. (If not completed within two weeks of the written board approval the date will be released.)
  • All appropriate documents and fees must be received no less than two weeks prior to  the scheduled event. 
  • Party dates will be issued on a first come, first served basis, with the email receipt being  the official time stamp. 
  • The Association reserves the right to hold days for Association events. 
  • Member families may reserve one date per season prior to July. If after July 1st there  are additional dates are available a second reservation will be considered.
  • Reservation of a party does not imply exclusive use of the beach. Other members shall  have the usual rights to use the beach, though not within the party area. 
  • Private parties at Price’s Bend are limited to the area in and around the tables, to the  right of the entrance only. They may not extend into or past the area near the  playground, or be set up in the parking area or near the dinghy racks.
  • Reservations are for the specific date you have reserved only. There are no free  rain dates. You will be responsible for maintenance fees regardless of the  weather, as they are non-refundable fees. 
  • Deposits will be taken by PayPal or check as arranged with the party scheduler
  • Maintenance fees will be collected and deposited upon receipt. 

The private party non-refundable Maintenance Fees and Deposit schedule: 

Parties of 15-30 persons $200.00 (non-refundable) plus a $500.00 refundable deposit Parties of 31-50 persons $250.00 (non-refundable) plus a $500.00 refundable deposit Parties of 51-100 persons $350 (non-refundable) plus a $750.00 refundable deposit ** Parties of 101-200 persons $500.00 (non-refundable) plus a $1000 refundable deposit** Parties with greater than 200 persons are not permitted 

** ANY PARTIES OF 51 PERSONS OR GREATER REQUIRE THE MEMBER  

HOST TO PROVIDE AN ADDITIONAL PORTABLE TOILET. 

** ANY PARTIES OF 101 PERSONS OR GREATER REQUIRE THE HIRING OF A SECURITY GUARD  CONTRACTED BY THE POENB. RATES UPON REQUEST. 

Terms and Conditions: 

Hours 

  • Sunday-Thursday: Music will cease by 8:00PM and the party will end by 9:00PM.
  • Fri & Sat: Music will cease by 9:00PM and the party will end by 10:00PM. 
  • All music MUST be kept at a reasonable level and in compliance with Town of  Huntington noise disturbance code chapter 141 and be aimed toward the water to  minimize disturbance to the neighborhood. 

Rules 

  • No one can tie, staple, glue or tape anything to the Association signs or to the tables. 
  • The Member/Host Must be present at the set-up, throughout the party, and at clean-up.
  • Any additional lighting shall be aimed at the water line and shall not be a nuisance to  the surrounding properties.  
  • The Member/Host may use the services of the following types of outside contractors: caterers, DJ’s, tent companies, portable toilet companies, inflatable slide companies.
  • DJ’s, live music, and dance are permitted but will be limited to a four-hour block of time. 

Failure to adhere to these rules will result in a loss of the FULL deposit and loss of  beach party privileges for a 24-month period.  

  • In the event the Member/Host chooses to use an outside contractor, the Member/Host shall  provide the Association with his or her Beach Party Agreement form, names and phone  numbers of the outside contractors, copies of the contractor’s license & certificate of  insurance, naming the POENB as additional insured providing a minimum of 1M/2M liability 
  • coverage. The actions of outside contractors are the responsibility of the Member/Host, and  their actions may cause loss of the deposit if the Association rules are not complied with.  

When the party is over, the Member/Host will:  

  • Clean up immediately after the event. 
  • Remove any tents, portable toilets or other non-POENB objects from the property by no  later than 10:00AM the next day.  
  • Put away umbrellas and not leave them out overnight. Lock the umbrella box/shed.
  • Turn off lights and lock the electric box.  
  • Replace any picnic tables, garbage cans, etc., which may have been moved for the  event.  
  • Clean the area and place all garbage in bags or cans and place them in the Association  dumpster at the parking area entrance.  
  • Report any damage, with the understanding that the Member/Host will not be held  responsible for normal wear and tear.  
  • The Member/Host will report to the Association the injury to any person immediately.  

The Security Deposit WILL be returned provided:  

  • The beach is left clean and free of debris and garbage. 
  • Association property has not been damaged. 
  • All garbage is bagged and placed in POENB dumpster at Price’s Bend. ∙ Other members use of the beach has not been infringed upon or been asked to leave  the beach. 
  • No complaints have been received about music being played too loudly or beyond time  limits. 
  • There are no unauthorized fires. 
  • The party is not set up outside the designated party area.
  • The party does not continue beyond time limits. 

Deposits taken via PAYPAL will be refunded less the PAYPAL service fees

All the provisions of the Association Beach and Association Party rules have been  complied with. Failure to comply with The Association Beach rules will result in 100%  loss of Security Deposit.
